Organizational Code of Professional Conduct
Section I.
GOVERNANCE OF THE ORGANIZATIONS
PERSONAL AND PROFESSIONAL INTRGRITY
All board members, committee chairs and committee members of the American Association of Medical Dosimetrists (AAMD) act with honesty, integrity and openness in all their dealings as representatives of the organization. The AAMD promotes a voice in the healthcare community that values respect, fairness and integrity.
Section II.
MISSION
The AAMD has a clearly stated mission and purpose, approved by the board of directors, in pursuit of the promotion and support of the Medical Dosimetry profession.
All of the AAMD programs support that mission and all who volunteer on behalf of the organization understand and are loyal to that mission and purpose.
Section III.
GOVERNANCE
The AAMD has an active governing body that is responsible for setting the mission and strategic direction of the organization and the oversight of the finances, operations, and policies of the organization. The governing body of the AAMD is described in the bylaws of the organization.
Section IV
PRINCIPLES OF PROFESSIONAL RESPONSIBILITY
The Board of Directors which is the governing body of the AAMD is expected to:
- Ensure that its board members understand and fulfill their duties that are for the benefit of the organization and the Medical Dosimetry Community;
- Encourage the professional growth and development of AAMD members, encourage communications with the membership, respect the competence and views of others;
- Ensure that the AAMD promotes working relationships with board members, volunteers, and other organizations that is based on mutual respect, fairness and openness;
- Have a conflict of interest policy that ensures that any conflicts of interest or the appearance thereof are avoided or appropriately managed through disclosure, recusal or other means; and
- Approach all issues with an open mind, prepared to make the best decision for the whole organization;
- Be responsible for the hiring, firing, and regular performance review of the association’s management company, and ensures that the compensation to this management company is reasonable and appropriate;
- Ensure that the Executive Officer and appropriate staff provide the Board of Directors with timely and comprehensive information so that the Board can effectively carry out its duties;
- Ensure that the AAMD conducts all transactions and dealings with integrity and honesty without spite, bias or favoritism;
- Ensure that confidences are maintained and confidential information pertaining the AAMD will not be disclosed;
- Ensure that policies of the organization are in writing, clearly articulated and officially adopted;
- Ensure that the finances of the AAMD are responsibly and prudently managed; and,
- Ensure that the organization has the capacity to carry out its mission effectively.
The AAMD’s President, Executive Director, and/or a designee appointed by the President, Executive Director or Board to represent the AAMD for a specific purpose, are the only authorized spokespersons for the AAMD. Anyone not serving in these specific capacities shall not represent or attempt to represent themselves as an authorized spokesperson for the AAMD.
Section V
LEGAL COMPLIANCE
The AAMD is knowledgeable of and complies with all laws, and regulations that govern a nonprofit organization that is exempt from taxation under Internal Revenue Code Section 501(c) (6).
Section VI
RESPONSIBLE STEWARDSHIP
The AAMD manages their funds responsibly and prudently by:
- Spending a reasonable percentage of its annual budget on programs in pursuance of its mission;
- Spending an adequate amount on administrative expenses to ensure effective accounting systems, internal controls, competent staff, and other expenditures critical to the professional management of the organization;
- Ensuring that all spending practices and policies are fair, reasonable and appropriate to fulfill the mission of the organization; and,
- Ensuring that all financial reports are factually accurate and complete in all material respects.
Section VII
OPENESS AND DISCLOSURE
The AAMD provides comprehensive and timely information to all members and is responsive in a timely manner to reasonable requests for information.
All information about the organization will fully and honestly reflect the policies and procedures of the organization. Basic informational data about the organization, reviews and audited financial statements will be available to the members upon a written request to the Board of Directors.
All solicitation materials accurately represent AAMD’s policies and practices and will reflect the dignity of organization. All financial, organizational, and program reports will be complete and accurate in all material respects.
Section VIII
Program Evaluation
The AAMD regularly reviews program effectiveness and has mechanisms to incorporate lessons learned into future programs. The AAMD is committed to improving program and organizational effectiveness and develops mechanisms to promote learning from these activities. The AAMD is responsive to changes in its program activities and is responsive to the needs of its members.
